Data deletion request

If you have personal data in Axion ERP and wish for us to delete it, follow the steps below. This right applies to all users regardless of country, based on LFPDPPP (Mexico), PIPEDA (Canada), and equivalent standards in other jurisdictions.

How to request deletion

1. Send an email to [email protected] with subject: "Axion data deletion".
2. Include in the message body:
   • Full name registered in Axion.
   • Email registered in Axion.
   • Client company (if applicable · e.g., you are an employee onboarded by your employer).
   • Internal employee number (if applicable).
   • Description of what data you want deleted (all / demo form only / profile only / etc.).
3. We will respond within 20 business days (LFPDPPP art. 32) confirming deletion scope and execution date.

What data we delete

• Your demo form submission (name, email, company, phone, message).
• Your user account and credentials.
• Your personal profile (photo, contact details).
• Activity logs linked to your account (in aggregate, we preserve anonymous metrics).
• Biometric attendance data if present (fingerprints, facial recognition).

What data we must retain by legal obligation

Some data we CANNOT delete immediately because law requires us to retain it. These are deleted automatically when the legal period expires:

• Mexico · Tax data (CFDI, IMSS / SAT / INFONAVIT withholdings) of onboarded employees: 5 fiscal years (Federal Tax Code art. 30).
• Mexico · Employment file (contracts, settlements, receipts):1 year after employment termination (Federal Labor Law art. 804).
• Canada · Employment records · 7 years (CRA + ESA).
• Global · Security and fraud prevention logs · 1 year retention anonymized.

How we verify your identity

To prevent malicious deletions, we will ask you to confirm your identity before processing the request. This may be:

• Reply from the email registered in Axion.
• Confirm 2-3 unique account details (last login date, last client you were assigned to, etc.).
• If you have the app installed, we can send you an in-app confirmation code.

Execution timeline

• Initial response: within 5 business days.
• Deletion confirmation: within 20 business days.
• Physical deletion from backups: up to 90 additional days · encrypted backups are rotated automatically and your data ceases to exist when the cycle expires.
